YuleLoggers Rules of Order for Comfort and Joy

 

Passwords: 

·       Members use passwords to access the Club Boards and Websites. Please do not distribute the passwords to nonmembers.


Posting and Emailing in General: 

·       Please post on the board and e-mail others as you'd like them to post on the board and e-mail you.

·       Each member is encouraged to voice their opinion while being respectful of other opinions.

·       Please refrain from name calling.

·       Please do not spam members.

·       Please do not post club business on any non-club sites, nor release club information to the public (including "scoops" from our sponsors).

·       When emailing a Club Board Officer regarding club business, please address it to the entire Board (President, Vice President, Secretary, Treasurer and Coordinator.)

·       Complaints of gross noncompliance to the Rules of Order may be brought to the attention of the Club Board. If deemed appropriate to follow up on the matter, the Board may issue a warning.  Should further action be required, the Board may appoint a committee to investigate, review and make recommendations regarding future conduct.

YuleLoggers Collector Club Board (Club Discussion Board)

·       The YuleLoggers Collector Club Board is always open for club member discussion.

·       Any member may open a topic thread or post on this board at any time. Log on and have fun talking about Hallmark!

The YuleLoggers Meeting Room

·       The YuleLoggers Meeting Room is only open during the time period of the official club meeting.

·       Members may view the meeting at anytime, but may not post a reply on any of the threads after the meeting is closed.

·       Only the Board of Elected Officers, Board Moderators, or Appointed Positions may open topics in the YuleLoggers Meeting Room.

·       The President will preside over the meeting.

·       The President, who may post at anytime during the meeting with ideas or generalities on a subject, should refrain from giving opinions on a subject as as not to sway other members to his/her way of thinking, which in turn could influence the voting results.

·       New Business will be opened at each meeting so a member may bring up subjects of interest. A member may also contact a club officer before the meeting to have a meeting topic thread opened.

·       To officially attend a meeting, a member must post a reply with their name and city/state under the "Roll Call" topic thread.

·       Any member may post a reply to an opened meeting topic.

·       The membership have entrusted the elected officers; and the elected officers, by their acceptance of the position, have become accountable to the membership. A respectful question therefore should be acknowledged in a like manner by an officer within 3 days and answered within a reasonable time frame of 30 days.

·       Members may bring up suggestions on issues that require a vote without a formal motion. A suggestion must receive at least one other show of support for that specific idea in the topic thread before it will be put to a vote of the membership.

·       Discussion on a topic does not need to stop after a suggestion has been accepted. Other suggestions may still be brought forward.

·       Multiple supported suggestions on the same topic shall be listed in a run-off poll. If no suggestion receives a majority voice, the top two will be put to another vote to decide the issue.

·       Topics that require more time and/or discussion may be delayed for vote or carried over for discussion at another meeting at the discretion of the President. The President will note as such on that topic before the meeting closes.

General Public Site

·       The Website has general information available to the public so that they may learn about the club and decide if they would like to join.

·       The site has a club membership application that lists applicable dues for the current year.

·       The site includes a calendar of future Club Meeting dates.

Members Only Site

-        The YuleLoggers Website also has a password restricted members only area which includes:

·       The YuleLoggers Club Bylaws.

·       The YuleLoggers Rules of Order for Comfort and Joy

·       The Official Club Sponsors - the names, email addresses, and websites of the Sponsors and/or their representatives.

·       Elected Officials and Appointments - Contact lists of elected offices, appointments such as moderators and webmasters, and committees, including names, User Ids, and email addresses shall be posted.

·       Club Roster of all current members updated monthly with the names, email addresses, and user IDs of all members.

·       YuleLoggers Treasurer Report Format and a copy of the current year's club budget.

·       Merchandise available for purchase and an order form.

Polls:

·       The YuleLoggers set their polls up for vote on Yahoo Groups. You can also access Yahoo Groups from the link on The YuleLoggers Website, or by using the link above.

·       Each member needs to have a unique email address in order to access and vote on a poll. If members from the same family use the same email address, we recommend setting up a "free web account" (such as Yahoo, Excite or other such places) so that each member has a separate email address and may vote. It also keeps our membership list and numbers accurate.

Chats:

·       The YuleLoggers host a live web chat every Sunday and Wednesday from 8:00 - 10:00 pm Central time. Every member is encouraged to log on and chat with their Yulefriends!  You can access the live web chat from the link on the YuleLoggers Website, or by using the link above.

Email

·       -E-mail messages for the entire membership will be sent by the Club Board/Moderators/Committees through Yahoo Groups.   Members are discouraged from using any reply feature to these emails which may forward their message to the entire group. Please look up the individual email address of the person you'd like to address.   Individual addresses can be found on the Member Roster on the club website.


YuleLoggers Funds

·       Any cost incurred by the club while a member is taking advantage of using our online account (such as PayPal) will be included on order forms as a charge to the member so that the member will be paying the cost. This way the club does not have to withstand the cost.

·       Any funds in an online account (over a minimum balance requirement if applicable) will be transferred and deposited to the regular club account on a monthly basis.

·       Funds in an online account will be accounted for in the Treasurer's Report.

·       Any club expense over $25 will have the actual itemized receipt faxed, scanned and e-mailed, or mailed to all club officers for their approval.

·       All moneys received from YuleLogger’s merchandise (pins, ornaments, cookbooks, etc.) beyond the actual cost to the club is considered a donation from the purchaser and will be added to the club treasury.  The Club Board and/or committee handling the merchandise will determine the price of said merchandise.  An expense may not be approved or voted on by the membership if the Club does not have enough funds in their accounts to cover the expense.
